The Scottish International Education Trust (SIET) is committed to protecting the privacy and personal data of all applicants and website users in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
What Data We Collect
When you apply for funding, we collect the following personal information:
- Full name
- Contact information (email, phone number, address)
- Educational background and academic history
- Details of the course or study you intend to pursue
- Supporting documents you provide
We may also collect equal opportunities monitoring data, which may include information on:
- Age, gender, class background, ethnicity, and disability
This information is collected anonymously and stored separately from your application. It will not be linked to your identity or used in the decision-making process.
How We Collect Your Data
Data is submitted by you directly via a Google Form hosted on our website.
How We Use Your Data
We use the data you provide to:
- Assess your application
- Contact you regarding your submission
- Manage our funding programmes and processes
- Conduct anonymised statistical analysis for reporting purposes
We do not use your data for automated decision-making or profiling.
Who Has Access to Your Data
Initially, data will be reviewed and processed internally by SIET trustees and administrators. If external processing support is introduced in future, we will ensure that any third party complies with strict data protection agreements and UK GDPR requirements.
How We Store Your Data
Your application data is stored securely in password-protected internal systems. Equal opportunities data is stored separately and anonymised. Access is restricted to authorised personnel only.
Retention
We retain application data for up to 6 years in line with our funding audit requirements. Anonymised statistical data may be retained indefinitely.
Your Rights
Under data protection law, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request erasure of your data in certain circumstances
- Object to or restrict processing of your data
- Lodge a complaint with the Information Commissioner's Office (ICO)
